01 / Reconciliations

Bringing the bank balance back into line.

A balanced reconciliation. No duplicate income.

The challenge

A client had managed their own bookkeeping before engaging our team. After the Xero bank feed was enabled and transactions reconciled, the bank balance did not match the actual statement, and the client could not identify the cause.

What I did

Reviewing the Bank Reconciliation Report showed the feed had been activated from a later date, so earlier transactions were missing, and customer payments recorded directly against invoices had later been reconciled from the feed as sales — creating duplicate income, incorrect GST and overstated taxable income. I corrected the reconciliation, removed the duplicates, and explained the cause so it would not recur.

The result

The reconciliation balanced, duplicate income was removed, GST and taxable income were corrected, and the client regained confidence in their records.

02 / Payroll

Getting payroll records back on track.

Corrected leave balances and superannuation settings.

The challenge

A client processing payroll themselves received employee complaints: leave balances were wrong and superannuation was not accruing. They were also unsure whether staff were paid at correct award rates.

What I did

Leave categories had never been set up and the earnings item was configured as super-exempt; payroll had already been filed with the ATO, so I reviewed how to correct the records without duplicating payments. I calculated leave balances manually from working hours, ran an unscheduled payroll to accrue leave without duplicate payments, documented the adjustment in payroll notes, corrected the superannuation settings, reviewed the applicable Fair Work Award and updated pay rates, then implemented Xero Me and employee timesheets.

The result

Leave balances displayed correctly, superannuation accrued, pay rates were reviewed and updated, and the client later referred further work to the firm.

03 / Systems & setup

Building the finance workflow from day one.

One organised workflow for expenses, payments and project costs.

The challenge

A newly established Australian business needed a complete bookkeeping system from day one, with an efficient way to manage expenses, supplier bills, payroll and customer invoicing.

What I did

After an introductory meeting to clarify expectations and reporting requirements, I set up the Xero organisation, configured Hubdoc and trained the client's team on uploading receipts, designed an accounts payable workflow across Hubdoc and Xero, implemented the ABA payment process, customised invoice templates, set up Xero Projects for job cost and labour tracking, and configured employee expense claims.

The result

The business began with a well-structured system, streamlined expense management and project cost tracking that scaled as it grew.

04 / Payroll tax

Spotting an overlooked payroll tax obligation.

The challenge

While reviewing the books of a newly onboarded client, I found the business had exceeded the New South Wales payroll tax threshold. The client was unaware of the obligation and had taken no action.

What I did

I reviewed wages, superannuation and contractor payments to assess exposure, confirmed the threshold had been exceeded, informed the client of the identified obligation, assessed which contractor payments were taxable and which qualified for exemptions, and worked with the client so the obligations were understood and addressed proactively.

The result

The client understood their payroll tax position before receiving any compliance notice, reducing risk and allowing timely corrective action.
